Rules and Regulations

§ 1
GENERAL PROVISIONS

  1. These BEST Hacking League Rules and Regulations (henceforth ‘‘Regulations”) determine rules and conditions on which the BEST Hacking League (henceforth ‘‘Hackathon”) is held.
  2. The organiser of the Hackathon is Stowarzyszenie Studentów BEST (henceforth ‘‘Organiser”), with its registered office at Politechniki Square 1, room 142, 00-661 Warsaw.
  3. The Hackathon will take place on 6-7 November 2020 in the space of Centralny Dom Technologii (henceforth ‘‘Hackathon Space”) at Krucza Street 50.
  4. The goal of the Hackathon is creation of devices or applications and development of IT related interests among students.
  5. The Hackathon’s website is at www.besthackingleague.pl (henceforth ‘‘Website”).
  6. Contact with the Organiser is possible through bhl.kontakt@best.pw.edu.pl (henceforth ‘‘Email Address”).

§ 2
TERMS & CONDITIONS OF PARTICIPATION

  1. Participation in the Hackathon is voluntary and free of charge. Participation is open to any natural person with full legal capacity, who is under 26 years old on day of the Hackathon and has a student status (henceforth ‘‘Participant”).
  2. Teams of 2 to 4 Participants are allowed to participate in the Hackathon (henceforth ‘‘Team”). A Team can take part in one of three categories: ‘‘Software”, ‘‘Hardware” and ‘‘Task from Main Sponsor”.
  3. In order to participate the Team has to apply via an entry form and send a solution to the qualifying problem to the Organiser.
    1. The entry form available on the Website has to be filled out by the Team captain.
    2. Team captain will recieve an entry form for the rest of Team members in an email. Team members have to fill out this form in order to become Participants.
    3. Text of the qualifying problem will be sent to the Team captain in an email.
  4. Teams shall declare in the initial entry form, which category (‘‘Software”, ‘‘Hardware” and ‘‘Task form Main Sponsor”) they want to participate in.
  5. Enrollment in the Hackathon takes place between 9.10.2020 and 31.10.2020 and is carried out through filling out an entry form available on the Website. The deadline for sending solution to the qualifying problem is 23:59 on 31.10.2020.
  6. The Organiser reserves the right to limit the number of Participants in case the number of Teams exceeds 27. In such case admissions will be based on solutions of the qualifying problem sent to potential Teams. Assessment criteria of the qualifying task will be published on the Website by 9.10.2020.
  7. The Organiser will provide: internet access, electricity, some elements and tools for Teams in the Hardware cetegory, food and drinks.
  8. Teams have to prepare their own computers.
  9. Participants are responsible for their belongings (including computers) and are obliged to look after them. The Orgainiser is not responsible for any loses and damage.
  10. The Participant states there are no medical contraindications to participation in the Hackathon. The Organiser is not responsible for any damages on this account.
  11. The Participant is responsible for any damages caused by them to the Hackathon Space.
  12. Team name can not contain any vulgar or insulting expresions, facist, nazi, communist, etc. slogans, which are forbidden by the Polish law, according to art. 196, art. 256 i art. 257 Kodeksu Karnego (Dz.U. 1997 Nr 88 poz. 553). Teams with names not complying with the requirements will not be allowed to participate.
  13. Participants are obliged to arrive to the Hackathon Space on time. The exact information will be published on the Website by 31.10.2020.
  14. There is no possibility of remote participation in the Hackathon. However, the Organizer reserves the right to organize an online edition of the Hackathon in case the stationary edition becomes impossible to conduct due to force majeure.
  15. Teams in the Software category can use any tool, programming language, environment, etc. to create their applications.
  16. Teams in the Hardware category must create their devices using either Arduino or Raspberry Pi platform. The exact models of the availble boards will be published by 9.10.2020. Each Team must declare, which platform it will use in the entry form.
  17. Teams in the Task from the Main Sponsor category can use any tool, programming language, environment, etc. to create their applications.
  18. The application or the device must be created entirely during the Hackathon. Projects, which were started before the Hackathon will be disqualified. Projects in Hardware category, which were created using parts not approved by the Organizer will be disqualified.

§ 3
HARDWARE CATEGORY

  1. Teams in the Hardware category will have access to a shop with elements helpful in development of their device. Each Team will recieve a coupon with a value decided by the Organiser. The coupon is valid only in this shop and will expire with closing of said shop. Working hours of the shop will be given in the begining of the Hackathon.
  2. A list of elements available in the shop will be published on the Website by 23.10.2020. The Participants may suggest adding elements to this list by 31.10.2020 using the Email Address, however, the Organizer is not obliged to add suggested elements to the list.
  3. If a Team in the Hardware category wants to use their own parts, it is required to send a list of them to be approved at the Email Address by 1.11.2020. The Organizer is not obliged to approve all of the parts on the list sent by the Team.
  4. Teams in the Hardware categry are allowed to use the FabLab workshop. Participants using tools and equipment supplied by the Orgainser are obliged to take care of said equipment and in case of any malfunctions to notify the Organiser about them. In justified cases the Participants may be held financially responsible for any potential loses and damages. Rules and Regulations of use of FabLab will be published on the Website by 31.10.2020.

§ 4
COURSE OF THE EVENT

  1. The Hackathon will proceed according to the timetable published on the Website by 31.10.2020.
  2. Hackathon consists of:
    1. The competition, during which Teams develop their projects.
    2. Presentations, durng which Teams will present their projects in front of the Jury. Choice of the winners is based on these presentations and is described in § 5.
  3. Teams are obliged to share their projects (including source code and documetation) on any digital repository available to the Jury. Files should be described in a way given by the Organisers at the beginning of the Hackathon.
  4. Participants can leave Hackathon Space freely between 8.00 am and 10.00 pm. At the beginning of the Hackathon the Organiser will provide permitted leaving hours outside of this time period.

§ 5
CHOICE OF THE WINNERS

  1. Winners of the Hardware category will be chosen in the following way:
    • Teams will show their projects in a few minute long presentations. The exact presentation length will be given in the beginning of the Hackathon. During the presentation Jury can ask the Team questions about their projects.
    • The Jury will have access to any technical documentation of the projects.
  2. Choice of winners of Software and Task from he Main Sponsor categories will take place in two stages:
    • Preselection During the Hackathon members of the Jury will observe the work of Teams. Based on their observations they will select finalists, who will then proceed to the next stage. Number of finalists in both categories will be given in the beginning of the Hackathon.
    • Final Finalists selected in Preselection will show their projects in a few minute long presentations. The exact presentation length will be given in the beginning of the Hackathon.
    • During both stages of assessment Jury has the right to ask Teams questions about their projects.
  3. Projects, which do not coincide with the Hackathon’s theme will not be assessed by the Jury.
  4. These are the assessment criteria in the Hardware category with the maximal number of points to obtain:
    • Innovation of created design – 30 points
    • Fuctionablity and ease of use – 20 points
    • Advancement of the project – 20 points
    • Development and business potential – 15 points
    • Coincidence with the theme of the Hackathon, the way of realisation of the task – 15 points
  5. These are the assessment criteria during the Preselection in the Software category with the maximal number of points to obtain:
    • Innovation of created design – 30 points
  6. These are the assessment criteria during the Final in the Software category with the maximal number of points to obtain:
    • Fuctionablity and ease of use – 20 points
    • Advancement of the project – 20 points
    • Development and business potential – 15 points
    • Coincidence with the theme of the Hackathon, the way of realisation of the task – 15 points
  7. Assessment criteria in the Task from the Main Sponsor category will be given with the task itself in the beginning of the Hackathon.
  8. Each Juror assesses the designs individually. The final score is the sum of points given by each of the Jurors.

§ 6
INTELLECTUAL PROPERTY RIGHTS

  1. Authors of any applications, devices and similar created during the Hackathon own the copyrights to them.
  2. The Participant shall affirm they are the author or contributor of all of the works created during the Hackathon and these works do not infringe any rights of third parties according to the Ustawa z 4 lutego 1994r. o prawie autorskim i prawach pokrewnych (Dz.U 1994 nr 24 poz. 83). Furthermore, the participate shall declare they are responsible in respect of any claims, concerning infrigement of copyright laws, of third parties directed to the organiser.
  3. Organiser reserves the right to publish the Teams’ solutions on the Website and on fanpages of BEST Warsaw and BEST Hacking League.

§ 7
THEME

  1. Teams are required to create an application or a device related to this idea: “Save the world or a part of it”.
  2. Teams in the Software category will be given 1 problem by the Organiser. Text of the problem will be released by the Organiser by 30.10.2020.
  3. Teams in the Task from the Main Sponsor will be given 1 problem by the Organiser. Text of the problem will be released at the beginning of the Hackathon.
  4. Teams int the Hardware category will be given 3 problems by the Organiser. Each Team has to choose only 1 of 3 problems to solve. Texts of the problems will be released by 26.10.2020.

§ 8
COMPLAINTS

  1. Jury’s verdict is final and irrefutable. Participants do not have the right to appeal the Jury’s verdict.

§ 9
INFORMATION ON DATA PROCESSING

  1. The adminitrator of your personal data (henceforth ‘‘Data”) is Stowarzyszenie Studentów BEST, with its registered office at Politechniki Square 1, room 142, 00-661 Warsaw.
  2. Data will be processed in order to conduct sign up, communication during and participation in the Hackathon.
  3. The Data will be stored for maximum a month after the end of the Hackathon.
  4. By applying to participate in the Hackathon the Participant gives consent to usage of the photographs from the Hackathon, whereon the Participant may appear, on fanpages of BEST Hacking League, BEST Warsaw and on BEST Warsaw’s promotional materials and by Hackathon’s partners as promotion for a period of 2 years.
  5. The Participant has the right to access their personal data, aquire its copy, correction, deletion and limitation of processing of said data.
  6. The Participant has the right to express objection against further data processing and in case of their assent for data processing to damand deletion of the data. The excercise of the right to revoke the assent does not influence any data processing, which has taken place by the moment of revocation.
  7. The Participant has the right to notify the President of the Personal Data Protection Office, with their registered office at Stawki Street 2, 00-193 Warsaw.

§ 10
FINAL PROVISIONS

  1. These Regulation become effective on 1.09.2020.
  2. In justified cases the Organiserr reserves the rights to change providions in these Regulations.
  3. The Organiser is not responsible for cancellation or change of date of the Hackathon and any claims in this respect are excluded.
  4. Applying for participation means the Participant accepts and commits to obey these Regulations, Rules and Regulations of FabLab space and Regulations of Centralny Dom Technologii.
  5. Any infringement of the Regulations, especially submission of false personal data or infringement of the Polish law grants the Organiser right to remove the Participant from the Hackathon.
  6. It is forbidden to bring alcohol to the Hackathon Space.
  7. Individuals under influence of alcohol or drugs and individuals posing a threat to the public order are forbidden to enter the Hackaton Space. If such individual is a Participant, they will be removed from the list of Participants.
  8. Whole Regulations are placed on the Website.
